Member Registration

AIA Membership Registration for the 2027 Season will open up on Sunday, Nov 1st, 2026. This Membership is for the Sponsoring Organization to register any potential units you may have for the upcoming competition season. Timestamp is no longer used for any scheduling purposes in AIA so read these items carefully to make sure you have a smooth registration process.

1. The Band Director of the school / organization or a staff member with Administrator status should complete the Member Registration.

  • Scholastic units must have the school name as part of the unit name. Any additional identifiers can be listed after the school name (I.e JV, Varsity, Green, Purple, A, B etc).
  • All Percussion, Guard and Winds units from the same school should be registered together even if they are taught by different instructors.
  • If your high school is sponsoring a middle school or other unit of a different name, list the organization that will be sending in payments as the first unit (preferably the high school).
  • The person registering units must have Administrator access for all of the units.

2. List all possible units that may exist for your organization.

  • It’s better to register all possible units now and delete a unit later if it does not make versus trying to ADD units to your membership.
  • If you need to add an associate member unit later in the season, all unit memberships will be subject to the pricing at the time of the change.
  • The only way to add additional units to an existing membership is to delete all memberships and start over.

3. Combined Schools

  • WGI recently updated their Combined Schools Policy. Please verify you are compliant with WGI’s policy if you plan to attend any WGI regionals or Champs ( More info later )
  • Combined schools must submit applications annually on the AIA Website
  • Combined School official unit names will be determined by the regional Eboards as part of the AIA application process
  • There can only be one combined school unit per division sponsored by the same organization ( i.e one guard, percussion or winds )
  • No auditions can be held to be a member of a combined school group. Auditions may be held for part positions within the group but not to be a part of the group.
  • AIA will vary from WGI and continue to allow multiple schools to combine to create competitive units

4. Payment Methods.

  • Credit card payments need to be ready to be processed at the time of registration as the final step.
  • Invoices for payment will be sent via email from Competition Suite and payment will need to be received and reconciled by AIA to be considered paid.
  • Invoices can be paid with Credit Card through CompetitionSuite under invoices by anyone with Administrator rights on the account.
  • Credit card processing fees will apply. These fees do not go to AIA.
  • Payments received by mail are updated in CompetitionSuite within 48 hours of receipt.

5. Payment Deadlines / Key Dates

  • Membership payment is a prerequisite to being able to register your units for events on Dec 1st.
  • Regular Member registration opens Nov 1st – Dec 31st
  • Event (show) registration for units starts Dec 1st – Feb 28th for paid membership and non-member units
  • Late Member Registration starts Jan 1st – Jan 31st
  • All membership registration closed Feb 1st

6. Credentials

  • Organizations will receive one(1) credential per unit registered.
  • Up to four(4) extra credentials can be purchased by the Organization with your Member Registration. Turn off any pop-up blockers to be able to see the add-on screen as it populates before you complete your registration.
  • The cost of these credentials will be added to your invoice as part of your Member Registration. This is your only chance to purchase additional credentials for the season.

8. CompetitionSuite / New or Existing Units.

  • Contact me if you have had a band director change or guard staffing change and need to remove or change these individuals.
  • Some older units may exist in our system and can be reactivated If needed.
  • If you need help adding or designating an Administrator for any group please contact Les.Simms@atlanticindoor.org

9. Competition Suite Staffing Levels

  • Competition Suite has added additional staffing levels for notifications. Please update the staff page accordingly for the access you desire individuals to have.
  • ADMINISTRATOR – All access to a unit for registration and comments (Financial responsibility). Will receive all emails and texts.
  • STAFF – Has access to view registrations and listen to commentary. Cannot change registrations. Will receive all emails and texts.
  • COMPETITOR – Used for performers with access to listen to commentary. Does not receive emails or texts.
  • EVENT MESSAGES ONLY – Receives event text messages from CompetitionSuite if your phone number is added to your account.

10. As a reminder, AIA has to work within what CompetitionSuite will allow us to do in terms of invoicing and payments and making changes. Take your time and please make sure you register correctly the first time.
